Administrative Assistant

We are seeking an organized, proactive, and tech-savvy Administrative Assistant to support our operations across all HIGHUPWEB entities and ensure smooth day-to-day coordination.

Role Overview

As an Administrative Assistant, you will serve as the backbone of our operations—supporting management, coordinating communication across departments, handling student and client inquiries, and keeping our workflows running efficiently. You will support the Academy, Agency, Driving School, and Foundation through strong organizational skills, professionalism, and modern digital tools.

This role is ideal for someone who is detail-oriented, adaptable, and passionate about supporting a mission-driven organization.


Key Responsibilities

At HIGHUPWEB Academy:

  • Manage student inquiries, registrations, admissions forms, and class schedules.

  • Maintain digital and physical student records with accuracy and confidentiality.

  • Assist with classroom coordination, attendance tracking, and exam scheduling.

  • Support instructors with administrative tasks and communication.

  • Provide timely updates about programs, fees, announcements, and events.

At HIGHUPWEB (Digital Agency):

  • Support client onboarding by preparing documents, contracts, and communications.

  • Coordinate project meetings and assist in organizing client files and briefs.

  • Maintain the agency calendar and follow up on project deliverables.

  • Assist the marketing and web teams with administrative tasks such as invoicing, reports, and client updates.

At Highupweb Driving School:

  • Handle driving lessons scheduling and coordinate with instructors.

  • Manage registration, fee tracking, and issuing receipts.

  • Respond to inquiries about programs, pricing, and requirements.

  • Keep daily records of students trained, attendance, and exam preparation.

At Highupweb Foundation:

  • Assist in coordinating outreach programs, events, and community activities.

  • Maintain donor and beneficiary records.

  • Support communication for fundraising campaigns and scholarship announcements.

General Administrative Duties:

  • Serve as the first point of contact—greeting visitors, answering calls, and responding professionally to messages.

  • Prepare and manage internal documents, reports, and communications.

  • Track office supplies and ensure smooth daily operations.

  • Assist the Management Team with scheduling, minutes-taking, and follow-ups.

  • Maintain a clean, organized, and welcoming office environment.


What We’re Looking For

  • 2+ years of experience in administrative, office, or customer service roles.

  • Strong organizational and multitasking skills.

  • Excellent written and verbal communication skills.

  • Basic proficiency with digital tools: Google Workspace, Microsoft Office, WhatsApp Business, CRM tools, etc.

  • Ability to maintain confidentiality and uphold professionalism at all times.

  • Friendly, patient, and service-oriented attitude.

  • Strong time management and ability to work under pressure.

  • Bachelor’s degree in Business, Management, Secretarial Studies, or a related field (preferred).


Bonus Points For

  • Experience in an educational institution or service-based organization.

  • Bilingual abilities (English & French).

  • Familiarity with digital tools, online customer service platforms, or basic tech skills.

  • Experience with scheduling software or CRM systems.
